References in this privacy policy and on our website to “we”, “our” or “us” are references to British Champions Series’ Limited. References to “you” and “your” means each person who interacts with us, uses our website or the products and services we provide.

What does this policy cover?

This policy covers our use of your personal data in connection with our website www.britishchampionsseries.com and any of our microsites from time to time (together, our sites) and in connection with any of the products and services (which shall include any hospitality events and club memberships) made available through those sites. It also covers our use of your personal data if you are an invitee to any of our hospitality events.

This policy also describes the rights that you have under the Data Protection Legislation, including a right to object to some of the processing which BCS carries out. More information about your rights, and how to exercise them, is set out in the “What rights do I have?” section.

What information do we collect?

We collect and process personal data you provide to us when you:

  • fill in your details on our sites, register for our products, services or club memberships, subscribe to our newsletters, mailing lists or other services and participate in any interactive functions on our sites or when you report a problem with our sites;
  • fill in your details, register for our products, services or club memberships or subscribe to our newsletters, mailing lists or other services via any of our landing pages;
  • purchase any products or services, including any club memberships, from us;
  • enter one of our competitions;
  • agree to attend a hospitality event, whether as part of a club membership or otherwise;
  • otherwise provide your details to us by phone, e-mail or in writing.

The information you give us may include any or all of the following: your name, address, e-mail address and phone number, date of birth, gender, user name and password, financial and credit card information, your preferences and interests, and feedback from you regarding our sites or any of products or services, including any club memberships. We may also collect and process any correspondence and communications that you have with us, including emails and telephone calls.

We may also collect information about you when you visit any of our sites. This may include technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, traffic data, location data, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform and cookies (which will be processed in accordance with our Cookies Policy). We may also collect information about your visits to our sites, including the full Uniform Resource Locators (URL) clickstream to, through and from the sites (including date and time); products and services you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the sites.

What information do we receive from third parties?

Sometimes, we receive information about you from third parties. This may include information from online vendors, service providers who refer you to our sites or products or services, from customer lists lawfully acquired from third party vendors and from other third parties who work with us in connection with our sites or products or services.

Third-party service providers may, without limitation, be appointed to provide technical support, process your transactions and maintain your accounts or to run promotions or marketing campaigns. We may have access to any personal information provided to such vendors, service providers and third party e-commerce services.

We also receive information from racecourses, which host BCS racedays. This may include:

  • Raceday attendees who also have a BCS club membership. We may collect attendee names and email addresses, and details about their attendance, such as any proof of ID or age that has been provided and details of any compliance or otherwise with club membership and/or racecourse rules and regulations
  • Raceday attendee email addresses. Other tan for club members, this is only ever collected upon active opt-in to the racecourse wifi services.
    Student attendees email addresses. This is only collected via active opt-in at the point of ticket registration to the event.

How do we use this information, and what is the legal basis for this use?

We process this personal data for the following purposes and on the following legal bases:

  • Where you have requested that we provide a specific product or service to you, or you otherwise make use of those products or services, we will process your personal data in order to perform our contract with you and provide that product or service. This includes the provision of any club membership and related services and benefits.
  • To conduct our business and pursue our legitimate interests, in providing and marketing our products and services (including club memberships) to you, improving our sites, services and interactions with you and other users of our sites, products and services. We use such personal data in the following ways:
    • to manage and administer your relationship with us, including any registrations and club memberships and to, communicate with you by telephone, mail, email, or other electronic means;
    • to verify your identity and age where, for example, you have signed up to any club membership;
    • to ensure that content from our website is presented in the most effective manner for you and your device;
    • to help us monitor, improve and protect our products, content, services and sites, both online and offline, including troubleshooting, data analysis, testing, research, statistical and survey purposes;
    • in connection with legal claims, compliance, regulatory and investigative purposes as necessary (including disclosure of such information in connection with legal process or litigation);
    • provide you with information about the products and services that you request from us;
    • provide you with information about other products and services we offer that are similar to those that you have already purchased or enquired about;
    • provide you with information about products or services we feel may interest you or be best for you;
  • notify you about changes to our sites, products and services, including any changes to club memberships and any of the benefits you may receive through those memberships;
  • to build up a picture of your interests so that you don’t miss information relevant to you when you visit our sites;
  • to allow you to participate in any interactive features of our sites and services;
  • to measure the effectiveness of advertising we serve to you and others, and to deliver relevant advertising to you;
  • to send direct marketing to you (see Direct Marketing section, below);
  • to make suggestions and recommendations about products or services that we think may be of interest based on usage patterns both on our sites and on other channels (such as email and social media);
    for training and quality purposes;
  • to check any instructions you give to us and for the purposes of investigating any complaint you may make, or as evidence in any dispute or anticipated disputes between you and us.
  • From time to time we may also ask you to give us your consent to the processing of certain personal data. We will inform you of the relevant personal data and the purpose of the processing at the time.

Who will we share this data with, where and when?

We will share your information with third parties that provide IT services to BCS, such as those for the purposes of hosting, supporting and maintaining our sites, IT infrastructure and software, and administering our business (including our internal and external communications) and also those who help us manage our customer and contact databases, customer relationships and marketing

We also share information with third parties, who carry out tasks to help us manage and administer our customer and member relationships and contact databases, such as hosting our club membership and marketing databases and sending out service emails on our behalf, and also with analytics and search engine providers that assist us in the improvement and optimisation of our websites, managing interactive aspects of our websites and the collection of information through our sites.

Where you accept an invitation to one of our hospitality events or participate in any event mad available to you through any club membership, we will share your name and contact details and, where relevant, your club membership details, with the venue in addition to any other information that you ask us to share with the venue such as your specific dietary requirements.

Where you buy or receive tickets for, or otherwise attend, any racecourses, we will share your name and contact details and, where relevant, your club membership details with the racecourse.

We will share your information with social media sites in order to carry out targeted marketing.

Personal data may be shared with government authorities and/or law enforcement officials if required by them, if mandated by law or if required for the legal protection of our legitimate interests in compliance with applicable laws. We may also share your personal data with other third parties if we are under a duty to disclose or share it in order to comply with any legal obligation, or in order to enforce or apply any contract with you and other agreements; or to protect the rights, property, or safety of our business, our customers, or others.

Information that you share in public areas may be accessed, used and stored by third parties.

We take no responsibility for third party use of your personal data when you share it in public areas of our sites.

We review all our relationships with third parties carefully so that we can be sure as possible that their practices match our own commitments to you relating to privacy and security. We also comply with the Data Protection Legislation in our dealings with these third parties to ensure that your information is appropriately protected.

Direct marketing and change of preferences

We may send direct marketing communications to you, including by email, telephone or SMS or mail. If we are required by law to have your consent to do this then we will only do so if we have that consent.

Whenever you receive direct marketing from us you will be told how you can unsubscribe so that you no longer receive it. When we communicate with you via email you will also be given the opportunity to set or amend any preferences that you have indicated to us.

You are also able at any time to withdraw that consent to receive marketing communications that you have given to us. You can do this by sending an email to info@britishchampionsseries.com. Sometimes we may need to contact you further to ask you for additional information so that we can comply with your request.

What rights do I have?

Under the Data Protection Legislation, you have certain rights in respect of the personal data we hold about you. These may include the right to ask us for a copy of your personal data; the right request that we correct personal data if it is inaccurate, the right to request that we erase or block your personal data, and the right to object to our processing of your personal data, and the right to ask us to share (port) this data to another controller.

These rights may be limited in some circumstances. For example if fulfilling your request would reveal personal data about another person, or if you ask us to delete information which we are required by law to keep or have compelling legitimate interests in keeping.

If you have unresolved concerns, you have the right to complain to the relevant data protection authority where you live, work or where you believe a breach may have occurred. Where do you store and transfer my data?

Where we store your data ourselves it is stored on our secure servers in the UK or the EU. However, where we share your information with third parties this may involve transferring it to a country outside the UK, the EU and the European Economic Area (EEA). This may include countries that do not have data protection laws which are as strong as those in the UK or EU. Where we do this we will take the steps required under the Data Protection Legislation to ensure that your information is appropriately protected. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website; any transmission is at your own risk. Once we have received your information, we will use appropriate procedures and security features to try to prevent unauthorised access, loss or damage.

How long will you retain my data?

How long we keep your data will depend on the purpose for which we use it. We will only retain your data for as long as is necessary for the purposes set out in this policy and as is necessary to comply with our legal obligations. We do not keep more data than we need for the particular purpose.

If you ask us to stop sending direct marketing communications to you, we will keep the minimum amount of information necessary (such as your name and email address) to ensure that we are able to adhere to your request.

Where we process your personal data on the basis of your consent, we do this for as long as your consent is active.

Where we process your data for the purposes of hospitality, we do this for the period leading up to the event and for a period of three years after the event in order that we can refer back to invitation lists from previous years and re-invite previous hospitality guests.

Where we have provided you with a product or service we will keep an archived record of your personal data for a period of up to 6 years after termination (unless a longer period is prescribed by law) for the purposes of responding to legal disputes and legal or regulatory enquiries or investigations only, but will not use this data for any other purpose.

Our sites and other information we send to you (including any emails or direct marketing) may contain links to other websites. If you follow a link to any of these websites these websites may collect information from you. Please note that these websites have their own terms of use and privacy policies and that we do not accept any responsibility or liability for these websites or their policies.
